Getting Started with Brilliyo LMS

Welcome to Brilliyo
Congratulations on choosing Brilliyo as your Learning Management System! This guide will walk you through the complete setup process from account creation to managing your institution and branches.
Step 1: Create Your Account
Brilliyo offers flexible registration options for both institutes and students:
Registration Types
On the Brilliyo homepage, you'll see two registration options:
- Institute Registration: For educational institutions to manage students, courses, and operations
- Student Registration: For individual learners to access video courses from various institutes
Institute Registration Process
To register your educational institute:
- Click the "Sign Up" button on the homepage
- Select "Institute" from the registration type selector
- Fill in the required information:
- Full Name: Your full name (only alphabets and spaces)
- Mobile Number: Your 10-digit mobile number
- Click "Send OTP"
- Check your WhatsApp for a 6-digit OTP (valid for 2 minutes)
- Enter the OTP in the verification field
- Click "Verify & Register"
Alternative: Google Sign-Up
For faster registration, you can use Google authentication:
- Click the "Sign Up" button
- Select your registration type (Institute or Student)
- Click on "Continue with Google"
- Select your Google account
- Grant necessary permissions
- You'll be automatically registered and redirected to your dashboard
Note: Student registration follows the same process but includes an optional email field for course updates and communications.
Step 2: Set Up Your First Institute
After successful registration, you'll be redirected to the admin panel. Now it's time to officially register your institute:
Register Your Institute
- Navigate to the "Institutes" tab (default view after login)
- You'll see a registration form with your contact information displayed
- Enter your Institute Name in the provided field
- Click "Sign up" to register your institute
- Your institute will be created and appear in the institutes list below
Important: Institute names must be unique. The system will prevent duplicate institute names.
Managing Multiple Institutes
Brilliyo allows you to manage multiple institutes under one account:
- All your institutes are listed in the institutes table
- Each institute shows its name, contact info, and available actions
- You can edit institute names or delete institutes as needed
Step 3: Add Branches to Your Institute
Once your institute is registered, you can add multiple branches for different locations:
Accessing Branch Management
- Click on the "Branches" tab in the admin panel
- You'll see the branch management interface
Creating a New Branch
- In the "Add Branch" form, fill in the following details:
- Branch Name: Name of your branch (e.g., "Main Campus", "North Branch")
- Branch ID: Unique identifier for the branch
- Branch Registration Number: Official registration number
- Branch Address: Complete physical address
- Branch Mobile Number: Contact number for this branch
- Branch Email: Email address for this branch
- Click "Add Branch" to create the branch
- The new branch will appear in the branches table below
Branch Accounting Setup
Each branch requires accounting ledgers for financial management:
- After creating a branch, you'll see a "Create Default Ledgers" button
- Click this button to automatically create:
- Default account groups
- Essential ledgers for fee collection, expenses, and more
- Once created, the button changes to indicate ledgers exist
- This setup is essential before you can process fees and transactions
Managing Branches
For each branch, you can:
- View: See complete branch details and information
- Edit: Update branch information like address, contact details
- Delete: Remove branches that are no longer needed
Dashboard Overview
Your admin dashboard provides quick access to:
- Student enrollment statistics across all branches
- Fee collection summary and pending payments
- Attendance overview for all classes
- Recent activities and updates
- Quick action buttons for common tasks

Multi-Institute Management
Manage multiple educational institutes from a single account with separate branches for each institute.
Branch-Level Operations
Each branch operates independently with its own:
- Student database
- Fee collection system
- Course offerings
- Staff management
- Accounting ledgers
Student Management
Manage all aspects of student information including enrollment, attendance, and performance tracking at the branch level.
Fee Management
Automated fee collection with multiple payment gateways, reminders, and comprehensive financial reports for each branch.
Course Management
Create and manage both in-person and online video courses with assignments and assessments.
Timetable
Organize class schedules, teacher assignments, and room allocations efficiently for each branch.
Root Admin vs Regular Admin
Brilliyo has two admin levels:
- Root Admin: Full access to all institutes, branches, and system-wide settings
- Regular Admin: Manages specific institutes or branches with limited access
Best Practices
- Mobile Verification: Keep your mobile number active for OTP verification and important alerts
- Unique Names: Use descriptive, unique names for institutes and branches
- Default Ledgers: Always create default ledgers immediately after adding a new branch
- Branch Information: Provide complete and accurate branch details for better management
- Regular Updates: Keep branch contact information up to date
Troubleshooting
OTP Not Received
- Check your WhatsApp messages
- Ensure your mobile number is correct
- Wait for 2 minutes before requesting a new OTP
- Click "Resend" to get a new OTP
Duplicate Institute Name Error
- Choose a unique name for your institute
- Add location or other identifiers if needed (e.g., "ABC School - Mumbai")
Cannot Create Default Ledgers
- Ensure the branch is associated with an institute
- Check if ledgers already exist (button will indicate this)
- Contact support if the issue persists
